Purpose: Assist the service manager in maintaining accurate and on-time reports and records relative to the service department’s operation within the dealership. Administers the warranty claim process to maximize administrative efficiency and return on warranty claims.
Responsibilities:
- Fields internal and external customer inquiries to the Service Department
- Responds to phones messages in a timely fashion
- Opens work orders as directed by the Service Manager/Shop Foreman and maintains control until they are closed and invoiced expeditiously.
- Maintains the service library with current information (for example, files bulletins, manuals, multi-media, etc.) under the direct supervision of the Service Manager
- Maintains Service Department filing and records
- Updates customer profiles using equipment, hours, or other information from the customer work orders
- Maintains accessories and supplies and prepares replacement orders
- May prepare Service Technician efficiency reports
- Monitors equipment records for expiration of extended and special warranties
- Manages and processes parts and service warranty claims including computation of charges of shop work for each location
- Works with service managers to ensure there are no expired Product Improvement Programs
- Understands warranty regulations and communicates to departmental management about warranty status on a regular basis
- May process warranty and/or product improvement claims including the computation of charges, submission and follow-up
Experience, Education, Skills and Knowledge:
- 2+ years in Service Department operations
- Ability to use standard desktop load applications such as Microsoft Office and internet functions
- Ability to learn software in the dealer business system and Deere Warranty system
- Knowledge of office procedures and attention to detail
- General understanding of mechanical/technical terms is preferred
- Ability to write and speak effectively to customers in person and on the phone
- High School Diploma or equivalent experience
Hours of Operation:
Mon-Fri (8:00-5:00)
Sat 8:00-1:00 (April through June Saturday Hours 8:00-4:00)

Pay: $20.00 - $25.00 per hour
Expected hours: 40 – 50 per week
